Technology & Security
Security is designed into the workflow — from physical intake to final marks. Deploy fully on-premises within your university's controlled environment, or on secure private or approved cloud storage where institutional policy permits — protected by AES-256 encryption, role-based access and audit controls throughout.
AI-Driven Platform
AI-driven technology for modern institutions.
AI assists. Your institution decides.
Yashavini's software is designed as an AI-driven platform. Intelligent automation moves work through the examination cycle, machine-assisted checks protect quality at every hand-off, and live insights turn high-volume operational data into faster, better-informed decisions.
The technology never replaces institutional authority. Authorized academic and administrative teams remain in control of every important decision — and every automated action stays logged, attributable and reviewable.
Intelligent workflow automation
Scripts, allocations, approvals and hand-offs move through configured rules automatically — reducing manual coordination across large examination cycles.
Automated quality checks
Unclear, missing, rotated or out-of-sequence pages are flagged at the point of digitization, before they can slow down evaluation.
Anomaly detection
Unusual marking patterns, valuation differences and workflow exceptions are surfaced for authorized review instead of staying hidden in volume.
Operational insights
Live dashboards distil examination-cycle data into clear, decision-ready views by department, subject, batch and evaluator.
Faster decision-making
Prioritized queues and exception alerts help examination teams act on what matters first — with less waiting and fewer bottlenecks.
People stay in control
AI supports the workflow; it never overrides policy. Important decisions are made by authorized teams, on evidence the system keeps for them.
Flexible, Secure Data Storage
Your data. Your infrastructure. Your choice.
Examination data is among the most sensitive information a university holds. Yashavini lets each institution decide where that data lives — without compromising on encryption, access control or auditability in either model.
Option A
Within Your Campus
On-Premises Deployment
Examination and institutional data are stored entirely within university premises — on dedicated secure servers, firewalls, backup systems and other approved hardware components. Infrastructure remains physically under the institution's roof and administratively under its authority.
Best Suited For
Institutions whose regulations require examination data to remain on campus, or that already operate qualified server rooms and IT teams.
Option B
Where Policy Permits
Private / Approved Cloud
Where institutional policy permits, the platform can operate on secure private or approved cloud storage — bringing elastic capacity for peak examination periods with the same encryption, access-control and audit discipline as an on-premises deployment.
Best Suited For
Institutions seeking faster provisioning, multi-campus reach or reduced on-site infrastructure overhead — within an approved compliance framework.
Protected in Both Models
Security Controls
Defence in depth, by default.
Evaluators work with anonymized scripts. Candidate identity is separated from the marking process and re-mapped only during authorized result processing. Access, retention and evidence requirements are configured according to institutional policy and the approved scope.
Role-based access aligned to authorized responsibilities
OTP-based authentication and optional face-plus-liveness verification
Candidate identity masking using barcode-linked opaque identifiers
Encryption for data in transit and at rest, subject to the approved architecture
Controlled sessions, signed actions and detailed activity logs
CCTV oversight for designated scanning and examination-operation areas
Time-stamped records for allocation, evaluation, moderation and approval
Device, user, role and session context for important actions
Audit · Chain of Custody · Re-evaluation
Every critical action — attributable, reviewable, evidenced.
Ingested
The answer booklet or packet enters the registered workflow.
Scanned
Pages are captured and quality-checked.
Assigned
An anonymized script is allocated to an authorized evaluator.
Evaluated
Marks are entered, validated and submitted.
Reviewed
Moderation, anomalies and discrepancies are resolved.
Re-mapped
The opaque identity is resolved only for authorized processing.
Declared
Approved output is delivered through institutional result channels.
Audit Evidence
- User identity and assigned role
- Time, session and workflow stage
- Device or access context, where configured
- Script allocation and workload history
- Marks-entry and modification history
- Moderator decisions, revert remarks and exception notes
- Barcode and batch movement records
- Approved output and integration logs
Re-evaluation Workflow
Where institutional regulations permit, eligible requests can be registered, validated and routed to a different authorized evaluator. Revised marks follow the applicable approval process, and all actions remain recorded for accountable review.
Retention & Compliance
Retention periods, evidence formats, access rights and audit procedures are defined by the institution's regulations and the approved implementation scope. The platform supports evidence capture; the institution remains the authority for examination policy and final decisions.
Real-Time Monitoring & Result Integration
Operational visibility across receipt, scanning, quality control, evaluation and exceptions.
Management Dashboard
Authorized examination teams monitor progress by department, programme, subject, batch, location or evaluator — a consolidated view of operational status without exposing candidate identity to unauthorized users.
Booklets registered, received and scanned
Pages or scripts cleared through quality assurance
Scripts allocated, in progress, submitted and approved
Evaluator workload and subject-wise progress
Missing, unclear or incomplete-script exceptions
Moderation, revert and third-valuation queues
Approved marks awaiting export or integration
Integration Options
During evaluation, scripts are identified through opaque references. After authorized approval, the system securely re-maps the digital script to the relevant student or register number for result processing.
- UUCMS-compatible data outputs
- APIs to approved institutional platforms such as E365
- Structured exports for examination processing
- Automated tabulation and best-of calculations where configured
- Provisional result workflows and approval checkpoints
- Approved communication through portals, email, SMS or connected applications
Note
Integration scope, data ownership, endpoint security, validation and acceptance criteria are agreed with the institution before deployment.
Operational Resilience
A controlled service that remains visible and manageable during peak examination periods — volume, capacity, connectivity, backup, recovery and support planned from day one.
